Issue
One of my staff doesn't have access to use a form that they need to have access to, how do I give them access?
How do I add a role to a form so that it gives access to all the needed users?
Environment
Kipu Compliance, Roles: Super Admin, Company Admin
Resolution
Only users that have access to the Company Admin (previously the Orange Side) can give additional access to forms, HR documents, and competencies.
- Select the name of your location/facility from the drop-down within Kipu Compliance under the Company Admin header.
- Once the Company Admin view has loaded select the Permissions tab and from the drop-down select the View List.
-
Select the section that needs the update.
Note:
You are automatically loaded into the Forms section. Select HR Documents or Competencies to create a new Permission under the different sections as needed. - Type the name of the Form/HR Doc/Competencies within the search field.
- If the Role is not listed as having access select the blue Add New button in the top right.
- From the new page select the necessary information for Role, Form, and access before saving.
- Select the Role that needs access to the form.
- Select the Form in question.
-
Select the access the Role needs to the form.
Important:
Minimum selections would be Can Create? and Is active. - Select the blue save button and it will redirect you back to the previous Permissions list view.
- Select the Role that needs access to the form.
- If your access allows you can test that the User will have access by Impersonating their view and selecting the Form from the Forms Library.
Cause
Not all forms, HR documents, or Competencies are open for all roles to automatically access. It depends on the general access of that level and what their function within the workplace is. If someone within your facility covers multiple roles duties within their current role but they don't need access to the rest of the sections the role would otherwise get access to, an override for the specific item (Form, HR Doc, Competency) is the best solution.
